Online Meet Declarations for TEAM MANAGER

No more paper sign-up sheets, phone-trees, or dealing with dozens of emails before each meet!

DirectAthletics' Online Meet Declarations for TEAM MANAGER allows athletes (or their parents) on your team to easily declare attendance and/or event entries for all of your upcoming meets via a secure Web account.

DirectAthletic's Online Meet Declarations system is completely integrated with Hy-Tek's TEAM MANAGER - eliminating the time-consuming data entry and administrative tasks involved in compiling and managing your team’s meet declaration process.

Depending on the needs of your team, you can allow athletes or their parents to declare their preferred events or simply declare whether they will be attending a meet - leaving the entries up to you.

ONLINE DECLARATION METHODS

Attendance Declaration
Athletes/parents indicate whether or not they will be attending an upcoming meet.  Coaches can import attending athletes directly into TEAM MANAGER, and filter meet entries by "Pre-Entered" athletes on the Entries by Event menu screen in TEAM MANAGER.

Event Declaration
Athletes/parents can indicate which events they would like to swim in upcoming meets.  Coaches can import event declarations directly into TEAM MANAGER.  Coaches complete final changes and relay entries in TEAM MANAGER and your meet entries are ready to export to the meet host!

COSTS

Each team must sign up for a Team Account subscription.  There are no upfront/setup costs, and there are no costs to your athletes/parents. 

Subscriptions are activated for one full year from the date you sign up.  There are no limits to the number of entries/declarations you can collect.   Upload as many meets as you wish!  You may upgrade your account at any time.

To sign up for Online Meet Declarations for TEAM MANAGER, click here and follow onscreen instructions to set up your Team Account.  You can pay for your subscription online with a valid credit card.

You can set up a team account on a 30-day trial basis by clicking here.  Once your demo Team Account is created, you will have 30 days to test the system.  The demo account will have all the features of a regular account, but your roster size will be limited to 10 athletes.

You can upgrade your account at any time or when your demo account expires.

FREQUENTLY ASKED QUESTIONS (FAQ)

What is required to use Online Meet Declarations for TEAM MANAGER?

Users must own TEAM MANAGER II for Windows Version 3.0E or later.  If you own an earlier version of TM II (Release 3), you can download the current TM II Maintenance Update for free by clicking here.  New users, DOS users, and Release 2 users can order an upgrade to TM II Release 3 online or by contacting the Hy-Tek sales office toll free at 866.456.5111.

In addition, each team must create a DirectAthletics Team Account and activate a subscription (More information provided above). 

Parents/Athletes simply need access to the Web.

How will athletes or parents submit their declarations online?  Is it secure?

Depending on the age of your athletes and the preferences of your team, you can chose to distribute athlete account information to the athlete, a parent, or any responsible party.

Declarations are submitted through secure accounts on the DirectAthletics Web site.  Each account has a username and password so that each athlete can only access his/her declarations.  Athletes can change their password to provide even greater security.

Usernames and passwords are automatically created in the Team Account when you upload your roster.  Coaches can control and distribute athlete accounts easily through their Team Account.

As the coach, all I want to know is who is coming to an upcoming meet.  I still want to be responsible for selecting the events and entries for my athletes.  Is this possible?

Yes.  When you upload a meet to DirectAthletics you can specify that you want athletes/parents to "Declare Attendance Only".  When you import declarations into TEAM MANAGER, you can filter your athletes by *Pre-Entered* athletes only when completing your entries.

Is there a limit to the number of meets I can upload?

No.  You can upload as many meets and collect as many declarations as you wish.

Is exchanging data between DirectAthletics and TEAM MANAGER difficult?

No, exchanging data is very easy.  DirectAthletics is completely integrated with Hy-Tek software.  In fact, you will import and export using the same files (.zip, .hy3, etc.) and features that you use when exchanging data between TEAM MANAGER and MEET MANAGER.

I have over 500 athletes in TEAM MANAGER, can DirectAthletics handle a team this big?

Yes.  As long as you have an Unlimited Team Account, there is no limit to the number of athletes you can have on your roster.  When setting up your account, you will be able to export your TEAM MANAGER roster directly to the Web - no data entry.

Also, DirectAthletics provides many tools for helping distribute athlete accounts and monitoring the declaration process online - even for very large teams.

I'm concerned about privacy.  Will my team's information be safe online?

Absolutely.  DirectAthletics takes many steps to ensure the security and protection of our users. 

1)      All accounts are protected by username and password.

2)      Only you and your athletes can view or enter meets that you have uploaded.

3)      Only you can activate or deactivate an athlete account

4)      Only you can view or edit athlete information.  Athletes cannot view or edit information for other athletes.

5)      Only you can view or edit athlete entries/declarations.  Athletes cannot view or edit entries/declarations for other athletes.

6)      Passwords created by athletes cannot be viewed by anyone else—including the coach.  Coaches CAN reset athlete passwords however.

7)      Team, entry or athlete data used on DirectAthletics is NEVER provided to 3rd parties.

NOTE: While DirectAthletics creates athlete accounts automatically for the coach, coaches are ultimately responsible for distributing these usernames and password to the athletes.  It is the responsibility of the coach to make sure that each athlete receives only his/her access information.
